Salesforce Leads shouldn't age out. Here's the two-Zap fix
The median B2B Salesforce org takes 55 minutes to make first contact on an inbound Lead. That's long enough for the Lead to be in a kickoff call with someone else.

Founder, Responsebird
Salesforce is where the Lead lives. It is not what replies to the Lead. MQLs go cold while reps are on other calls, inbound demo requests get a reply on day two, and by then the prospect is often already in a kickoff call with a competitor. The fix doesn't need Apex, Process Builder, or Marketing Cloud - just Salesforce's own Zapier connector, wired twice.
The two-Zap setup
- Sign up for Responsebird - the inbound webhook and a first-draft assistant are generated immediately.
- Wire the inbound Zap (Salesforce New Lead → Responsebird) and the outbound Zap (Responsebird → Salesforce Create Task / Update Lead). The field map ships pre-built.
- Submit a test Lead, confirm the Activity logs on the record, then switch the workflow on.
What happens on every new Lead
- A marketing campaign, web form, or Pardot flow routes a new Lead into Salesforce.
- Zapier sends the Lead to Responsebird within seconds.
- The AI sends the first SMS or email, personalised to the Lead's industry and campaign source.
- The inbound reply, the AI's response, and any voice call summary write back as Activities on the Lead.
- When the Lead qualifies, the AI books a meeting on the rep's calendar and updates Lead Status.
Why it fits a Salesforce workflow
Every message, call, and meeting booking lands as a Salesforce Activity on the Lead or Contact record, owned by the assigned rep.
Existing round-robin routing is honoured - the AI replies on behalf of whoever's assigned, so reporting stays clean.
Zaps can be filtered by campaign source or Lead Source field, so different personas get different qualifying questions.
Pardot or Account Engagement keeps running long-cycle nurture in parallel - Responsebird just owns the conversational first touch.
In our customer cohort, Leads contacted inside five minutes closed at an average value of $4,800 - nearly four times the deal size of Leads that waited an hour or more.
Opt-out handling (STOP paths, Do Not Contact sync) and approval-required mode are covered in detail on the Salesforce integration page.
