How to stop HubSpot contacts from going cold: the Responsebird walkthrough

HubSpot tells you when a form is submitted - it doesn't reply. Here's how Responsebird wires into HubSpot via Zapier and replies to every new contact in seconds.

HubSpot is excellent at telling you a lead exists. It is not built to pick up the phone. The gap between "contact created" and "first human reply" is where most HubSpot pipelines quietly leak - the average B2B account takes 47 minutes to make first contact, and conversion drops off almost exponentially after the first five. This is a walkthrough of how we close that gap without touching Operations Hub or writing a line of custom code.

The two-Zap setup

  1. Sign up for Responsebird and generate your inbound webhook - this takes about three minutes and gives you a first-draft AI assistant.
  2. Wire one inbound Zap (HubSpot New Contact → Responsebird) and one outbound Zap (Responsebird → HubSpot Engagement). The field mapping is templated, so this is closer to six minutes than sixty.
  3. Submit a test form. Watch the AI reply land as an Engagement on the contact timeline, then flip the workflow live.

What happens on every new contact

  • A form gets filled out - HubSpot, your site, an ad, anything that triggers HubSpot's connector.
  • Zapier hands the contact to Responsebird within seconds.
  • Your AI assistant - trained on your services, pricing, and qualification criteria - sends a personalised first reply by SMS, email, or both.
  • Every inbound reply, the AI's response, and any resulting call get written back as Engagements on the contact.
  • If the contact qualifies, the AI books a meeting directly on the rep's calendar.

Why it fits a HubSpot workflow

Every message lands as a HubSpot Engagement on the contact timeline, so reps see the full thread before they pick up.

Form fills at 11pm get the same 30-second reply as ones at 11am - no more apologising for the delay.

The AI asks the qualifying questions your reps would - budget, timeline, fit - and updates deal properties before handoff.

Qualifying leads get a calendar link inside the same conversation; confirmed meetings sync to the rep's own calendar.

Contacts reached within five minutes convert 21× more often than ones reached after thirty. Most HubSpot accounts we see are averaging 47 minutes.

None of this requires Sales Hub Professional or a custom-code workflow - Starter and up is enough. If you want the full setup detail, pricing, and FAQ, see the HubSpot integration page.
