Keep every client boundary explicit

Agencies should map each client location or sub-account separately and verify where a contact is created, who can see it, and which phone number is used. Do not assume that a workflow configured in one location will apply to another. Record the client, workspace, and responsible operator for every test.

  • Confirm the intended client location
  • Check user permissions and shared inbox visibility
  • Keep sample data separate between clients

Define the lead and pipeline handoff

Decide which event represents a new inquiry and how it maps to a contact or opportunity in the specific account. Establish who owns the next action and whether a pipeline stage can change automatically. Keep the existing agency or client process intact until the handoff has been reviewed.

  • Source form or campaign
  • Contact owner and opportunity owner
  • Stage changes that require staff approval

Set client-specific response rules

Each client needs approved service details, business hours, escalation contacts, and language for unavailable appointments. Separate shared agency guidance from client-specific facts. Document what the assistant must never promise, and how a client can request a human handoff.

  • Approved services and service area
  • Hours, urgent-request handling, and escalation path
  • Client-approved tone and contact method

Run isolated tests

Test one client location at a time with a new lead, an existing contact, an opt-out, and a request outside business hours. Verify that the correct client data and owner appear in the resulting record. Review permissions with the client before using real customer details.

  • Confirm no cross-client record or message appears
  • Check contact consent and suppression rules
  • Get the client’s sign-off on the handoff
