Why your Acuity reminders aren't working - and what to send instead

Acuity's default reminders are one-way emails nobody reads. Here's how a conversational SMS sequence recovers no-shows automatically.

Acuity's built-in reminders go out as a single email or text and, realistically, nobody reads them. The client gets the booking confirmation, ignores the day-before email, and forgets the appointment - a 23% median no-show rate across our services cohort shows up directly on the daily revenue report. Conversational, reply-able SMS performs meaningfully better, and it takes one Zap to wire in.

The one-Zap setup

  1. Sign up for Responsebird - the reminder cadence is pre-configured for your appointment types.
  2. Wire the single inbound Zap (Acuity New Appointment → Responsebird); the field map is pre-filled.
  3. Book a test appointment, confirm the confirmation and reminder SMS fire, then switch it on.

What happens on every booking

  • A client books an appointment on your Acuity calendar.
  • Zapier sends the booking to Responsebird within seconds.
  • A conversational, reply-able confirmation SMS goes out immediately.
  • A gentle reminder fires at T-24h, and a final one at T-1h.
  • If the client no-shows, a recovery SMS with a rebook link goes out within 10 minutes.

Why it fits an Acuity workflow

Each reminder is a personalised SMS the client can actually reply to - not a one-way notification.

No-show recovery fires automatically, and roughly 20% of no-shows rebook on the spot.

An optional T-15min voice reminder is available for higher-stakes appointments.

Reschedule requests are handled in the same SMS thread, checked live against your Acuity availability.

Conversational SMS reminders improve showup rate by roughly 1.7× over Acuity's default one-way reminders in our services cohort.

Package and membership appointment handling is covered on the Acuity integration page.
